Change of data in the BDO register

Changing data in BDO is one of those obligations that companies most often put off „for later” because they seem purely technical. In practice, it is precisely such omissions that most easily come to light during an audit or when filing reports, when it turns out that the registration number is up to date, but the company data is no longer. This applies in particular to changes to the registered office address, the company name, the extension of activities, the addition of a new place of business or the termination of one of the activities covered by the entry. Official BDO sources clearly indicate that the entrepreneur has 30 days from the date on which the change requiring an update occurred to apply for the change, and that the application is only submitted electronically via an individual account in the BDO system. This means that updating the BDO application is not an optional formality, but an obligation whose failure to do so may generate the risk of sanctions and procedural problems.
When do you have to submit an update application?
An update application is submitted when either the data disclosed in the register or the scope of activities covered by the registration changes. In practice, this most often involves changing the company's address in the BDO, changing its name, adding a new place of business, changing its business profile, starting to generate new types of waste or expanding its activities to include further product obligations. BDO makes it clear that an update is needed both when you change your identification details and when you expand the scope of your business. Importantly, if you end only one of the scopes of activity, you do not immediately submit an application for deletion from the register, but just an update application. This is one of the most common mistakes made by companies who mistakenly equate a partial termination of activity with a full deletion from the BDO.
What is the step-by-step procedure in the BDO system?

The procedure itself is fairly straightforward if the entrepreneur knows exactly what the change concerns. First of all, one has to log in to the BDO system and enter the electronic applications module, as this is where both the registration application, the update application and the deletion application are submitted. Then you need to create a new update application and mark the scope of the change. In the BDO system manual, it is explicitly indicated that when changing the registered office of an entity, the field „change of registered office of an entity” can be used, after which the system displays an additional section on new identification and address data. If the change relates to a new place of business, it should be added and then an electronic update application should be submitted to the competent Marshal of the province via an individual account in BDO. Thus, in practice, the technical scheme looks like this: logging in, selecting the entity, creating an update application, selecting the relevant scope of change, filling in the new data, signing and sending the form through the system.
When is an update not enough and an application for deletion must be submitted?
An application for removal from the BDO register shall only be made when there is a permanent cessation of the activity requiring registration. Official BDO sources indicate that the deadline for submitting such a request is 14 days from the date of permanent cessation of the activity. This is an important distinction, as entrepreneurs often confuse three different situations: a change of data, a reduction of the scope of the activity and a complete cessation of the activity covered by the BDO. If a company only changes address, name or adds a new place, an update would be appropriate. If it terminates one scope of activity, but continues to be subject to BDO under another title, an update is also needed. Only the complete and permanent cessation of the activity requiring registration justifies deletion from the register. This is why the technical guide should emphasise not only the procedure itself, but also the qualification of the change, as this determines which form to submit.
How much time is there to update data in BDO?
You have 30 days from the date of the change requiring the update to submit an update application.
How to submit a BDO application update?
Only electronically, via an individual account in the BDO system, in the electronic applications module.
Does a change of company address in BDO require a separate application?
Yes. A change in the registered office or address of a company is a change in the data disclosed in the register and requires an update application.
When is the deletion from the BDO register submitted?
When there is a permanent cessation of the activity requiring registration. The time limit is 14 days from the date of permanent cessation of such activity.
Does the termination of one field of activity mean deletion from the BDO?
No. If only one scope of business ends and the company is still subject to BDO under another title, an update application should be submitted, not an application for deletion.
If your company has changed address, name, scope of business or is planning to terminate some of its duties with BDO, it is worth sorting this out straight away before a problem arises in a report or audit.
