Environmental outsourcing - how much does it cost and when is it worth hiring an external company?

Environmental outsourcing

For many businesses today, the question is not whether environmental obligations exist, but who is to realistically handle them. BDO, KOBiZE, waste records, reports, fees and deadlines form an area that is easy to disregard until there is an audit or a backlog. This is why environmental outsourcing is increasingly becoming a sensible alternative to the „we'll do it ourselves” model. From a company's perspective, it's not just about doing one form, but constantly keeping an eye on compliance: who needs to be in BDO, what needs to be filed and by when, and how to properly account for environmental obligations. When a business tries to run this in-house, it usually ends up shifting the responsibility to someone who already has other administrative or operational tasks. Meanwhile, the deadlines themselves are immovable: the KOBiZE report by the end of February, the BDO reports by 15 March as a rule. This makes the question „should I do it myself?” very quickly become a question of risk and responsibility, rather than just price.

How much does environmental outsourcing and BDO service cost?

There is no one rate for everyone, as environmental consultancy pricing always depends on the number of duties, the type of business, the number of locations, the scale of waste and whether the company needs one-off support or ongoing service. However, the market gives fairly clear benchmarks. Publicly available price lists show that registration with BDO is sometimes offered from around PLN 350 net, the preparation of selected reports from around PLN 400 net, and permanent environmental outsourcing or subscription service from around PLN 800 per month. These are not universal rates, but they give a good indication of the order of magnitude that users typing in the phrases „BDO service price” or „external company to BDO” are looking for. The bottom line is that an external service usually allows you to spread the cost over a predictable subscription, rather than incurring ad hoc expenses and additional staff time. For small and medium-sized companies, it is this cost predictability that is sometimes more important than the lowest price of a single service alone.

Staff or external company - which pays better?

If a company is considering hiring its own specialist, it needs to look more broadly than just the salary amount written into the contract. Salary data shows that the median salary for an environmental specialist is around £7,500 gross per month and many current vacancies are in the £6,000-12,000 gross range. On top of that, there are the costs of the employer, implementation, training, replacements during holidays and the risk that one person will not be competent enough in all areas, from BDO to KOBiZE and environmental charges. In practice, environmental outsourcing wins out when a company needs not a full-time employee, but an efficient delivery of duties. The external team does not require training from scratch, keeps up to date with changes in legislation and takes on the operational policing of deadlines. This is particularly important where environmental duties are regular but not extensive enough to warrant a full-time specialist. For such companies, an environmental specialist working together in an outsourcing model is usually more financially and organisationally sensible than building an in-house position.

When is it worth outsourcing environmental services?

Most often when a company wants to take off the burden of deadlines, interpretation of regulations and responsibility for the correctness of accounts. A good signal for outsourcing is when a company already uses BDO, has reporting obligations, markets products, settles waste or has to prepare a KOBiZE report, but does not have a person in the team to run this continuously and competently. This is where an external service provides the greatest value: it puts the process in order, reduces the risk of errors and allows management to focus on operations instead of keeping up to date with legal changes

How much does it cost to run BDO by an external company?

Most often from a few hundred zlotys for a single activity to a fixed monthly service of around 400 zlotys upwards, depending on the scope of responsibilities and scale of the business.

Is it worth commissioning an environmental service?

Yes, especially if the company has regular responsibilities with BDO, KOBiZE or waste, but does not need a full-time specialist. Then outsourcing usually gives a better cost/security/convenience ratio.

Is outsourcing cheaper than full-time employment?

In many small and medium-sized companies, yes, as the median salary for an environmental specialist is around £7,500 gross per month, plus full employer and implementation costs.

Does the external company keep an eye on BDO and KOBiZE deadlines?

That is the point of the permanent service: to take over the organisation of responsibilities and control the statutory deadlines, including the end of February for KOBiZE and 15 March for the main BDO reports.

When is the best time to switch to environmental outsourcing?

Preferably before there is a backlog, an audit or deadline chaos, i.e. already at the stage of the first repetitive environmental duties.

If you want to check whether it is more cost-effective for your business to be self-serviced, full-time or have ongoing external support, it is worth comparing this on real responsibilities and costs, rather than on assumptions alone. A well-chosen comprehensive environmental services allows you to take over deadlines, organise your documentation and reduce the risk of errors without building your own department from scratch. Details can be found under Contact on the site where you can describe the situation of your company and select a cooperation model according to the actual scale of responsibilities.
