In practice, an erroneously issued KPO can set in motion a whole series of problems: from rejection of the waste takeover by the recipient, to inconsistency with the record card, to the risk of questioning the correctness of waste management during an inspection. Official guidelines make it clear that, among other things, the weight of the waste, its code, the details of the transporting company, the registration number of the vehicle and the details of the taker must be entered on the card. It is in these fields that the most frequent errors occur. The biggest problem, however, is that not every mistake can be corrected in the same way. In the BDO system, a great deal depends on the status of the card: it is one thing to correct something on a card that is planned or rejected, and another on one that has already been approved by the transferee.

Wrong waste code, mass or place of transfer

The most common mistakes are the wrong waste code, the wrong estimated weight and the indication of the wrong waste transfer location. These are particularly dangerous errors because they concern the very essence of the waste transfer and not just the technical data. BDO points out that when the transferee does not agree with the code or mass of the imported waste, it can reject the card, and the transferor then has the option to edit the rejected card to change the code and mass of the waste. This is good news, but only if the error is caught before the takeover is approved. On the other hand, when a mistake is made at the point of transfer, the system only allows the transferor and transferee to change if the card has a status of „planned”. When the card already has a different status, such editing is not possible. The best method of avoiding these errors is therefore a simple rule: do not issue KPOs „by heart”, but each time compare the waste code with the records, reconcile the weight with the consignee and check the destination entity even before generating the confirmation.

Mistakes in data of the transporter and vehicle registration number

A second group of common errors are incorrect transporter details, the wrong vehicle registration number or assigning the wrong company to receive the transport. This is a problem that often arises when an operator acts routinely and uses pre-written schemes, even though the collection is carried out by a different transporter or a different vehicle. BDO's materials clearly indicate that once the KPO or KPOK has been approved by the transferee, it is no longer possible to make a correction on this card. Therefore, if the error concerns the transporter and the card has already been validated, a new NTP with correct data should be issued and the reason for issuing another card should be described in the additional information. Furthermore, BDO also points out that even on a rejected card, it is not always possible to change the registration number of the vehicle; in this case, a new card must also be issued. This shows that the safest way to avoid errors is to verify the transport data immediately before collection and not the day before or according to a previous order.

Rejected KPO, correction and post-approval error - what to do?

The most confusion arises when the trader does not understand the difference between a rejected card and a card already approved by the acquirer. BDO clearly indicates that a KPO with a status of „rejected” needs to be corrected and resubmitted to the transferee, and only after confirmation can it be recorded in the waste record card. It is therefore not possible to „close your eyes” to a rejected card and still consider the case as settled. On the other hand, if the transferee has already approved the takeover of the waste, it is not possible to make any adjustment on this card. In such a situation, a new KPO has to be issued with the correct data and, with the wrong weight, the BDO recording guidelines have to be followed. The most effective method of avoiding these problems is organisational: establish a simple procedure within the company whereby each KPO is checked against five critical fields - waste code, mass, transporter, registration number and taker - before being sent. Such a check takes a minute and usually saves a lot of time and nerves later on.

Can the KPO be corrected after approval by the recipient?

No. Once the transferee has confirmed the takeover of the waste, it is not possible to make an adjustment on this card.

What to do with a rejected KPO?

It must be corrected and resubmitted to the acquirer.
